Factory Capability (Questions 1–3)

1. What certifications do you hold? ISO 9001 is table stakes. If your product touches food, you need FDA or EU equivalent. FSC certification matters for European retailers.
2. What is your monthly production capacity in paper tubes? A factory running 50,000 units per month cannot take a 30,000-unit order without pushing your delivery date. Ask for current utilization rate.
3. Which tube diameters do you have tooling for? Custom tooling adds 7–14 days and $200–800 in setup costs. Standard diameters (40mm, 42mm, 53mm, 73mm, 83mm) avoid this entirely.

Quality Control (Questions 4–7)

4. What dimensional tolerances do you hold? For shuttlecock tubes: inner diameter tolerance should be ±0.3mm, length ±1mm. Anything wider means inconsistent feather fit.
5. Do you run in-house testing? Ask specifically about MVTR (moisture vapor transmission rate), compression strength (top-load), and seal integrity. A factory that outsources QC testing has longer feedback loops.

9. What is your standard sample process? Paid or free? How many revision rounds are included? Standard industry practice is one revision round included, additional rounds billed at cost.
10. How do you handle spec changes mid-production? Some factories stop the line and re-quote. Others continue and adjust later. Get this in writing before placing the order.
11. What shipping documentation do you provide? Full set includes: commercial invoice, packing list, bill of lading, certificate of origin, and any relevant test reports. Missing paperwork delays customs clearance.

Commercial Terms (Questions 12–13)

12. What is your payment terms structure? 30% deposit / 70% before shipment is standard in China. T/T is most common. L/C is possible for larger orders but adds bank fees of 1–3%.
13. Is your quoted price EXW, FOB, or CIF? EXW (Ex Works) means you arrange all shipping. FOB means the factory delivers to the port. CIF includes insurance. The difference between EXW and CIF is typically $0.03–0.08 per unit depending on destination.

Post-Sale Support (Questions 14–15)

14. What is your lead time for reorders? Repeat orders should be faster than first orders because tooling is already set up. If the factory quotes the same lead time for reorders, ask why.
15. Do you offer any defect warranty? Most Chinese factories offer replacement for manufacturing defects discovered within 30 days of receipt. A factory that offers 90 days or more is signaling confidence in their quality.

Do not send all 15 questions in one email. That overwhelms the supplier and reads like a compliance exam. Instead, weave them into the natural conversation flow:

• During the RFQ stage: ask questions 1, 3, 12, 13 (capability and pricing)
• During sample discussion: ask questions 4, 5, 9 (quality and process)
• Before placing the order: ask questions 2, 6, 7, 8, 10, 11, 14, 15 (production and support)
